Accountison Sync Privacy Policy

Last updated: October 20, 2026 Accountison LLC (“Accountison,” “we,” “us,” or “our”) operates Accountison Sync, a private accounting integration for authorized users and clients. This policy explains how information is collected, used, stored, and disclosed through the integration.Information We CollectDepending on the features enabled and the permissions you authorize, Accountison Sync may access:Connected account identifiers, company names, and connection information.Customer names and identifiers, invoices, payment records, transaction dates, amounts, fees, orders, and payout details.Reconciliation information and accounting instructions provided by authorized users.Application credentials and authorization tokens needed to connect supported services.The current release supports sandbox connections to Square and QuickBooks Online, account verification, and connection-status checks. Production payment recording, spreadsheet synchronization, and unattended automation are not currently enabled.How We Use InformationWe use information to establish and maintain authorized connections, verify connected accounts, provide available integration features, and troubleshoot connection issues.The planned production workflow will support reconciliation of payment records and recording payments already received against existing QuickBooks Online invoices. This policy will be updated as additional features are enabled.Accountison Sync does not process customer charges or transfer funds. Its Square connection requests read-only access.Connected Services and ChatGPTAccountison Sync connects to services only through permissions granted by an authorized user.The integration is accessed through ChatGPT. Information returned by its tools becomes available in the user’s ChatGPT conversation and is subject to the applicable OpenAI terms, privacy policies, and account data settings. The current connection-status tool returns connection information and account names, but does not return application secrets or authorization tokens.Application hosting and storage use OpenAI Sites and Cloudflare infrastructure. Service providers may process information as needed to operate these services.Information SharingWe do not sell or rent information collected through Accountison Sync or disclose it for third-party advertising.Information may be processed by authorized Accountison personnel and service providers as necessary to deliver the integration, support the client’s accounting services, comply with legal obligations, or protect against unauthorized activity.We do not use one client’s accounting information to provide information to unrelated clients.SecurityThe current application encrypts stored application credentials and authorization tokens and restricts access to connection records by authenticated user.No method of electronic storage or transmission is completely secure. Users should protect their accounts and avoid sending passwords, application secrets, or authorization tokens through chat or email.Retention and Deletion RequestsConnection information is retained to support the authorized connection and operation of the service. You may request disconnection or deletion of information held by the integration by contacting info@accountison.com.We will review requests, verify the requester’s authority, and explain any information that must be retained for legal, professional, security, or recordkeeping purposes. Deletion may require manual processing.Disconnecting an integration does not reverse accounting entries or automatically delete information already stored in QuickBooks Online, Square, spreadsheets, ChatGPT conversations, or other systems. Those records are subject to the controls and retention practices of the applicable service.Your ChoicesYou may decline to connect an account or revoke the integration’s access through the connected service’s account settings.Revoking access prevents future authorized access through that connection but does not itself delete previously retained information.Changes to This PolicyWe may update this policy to reflect changes in the integration or its information-handling practices.
